Donaldson Search provides headhunting or executive search services to UK companies. Donaldson Search is not a “database” recruitment company, but instead works on retained search assignments for a small number of companies at any one time, seeking out and discreetly approaching individuals for each assignment, based on the brief given by the client.
Data is held about individuals who are approached about positions, and also about individuals who work for client companies.

Your personal data is used to benchmark you against the specific requirement that you were approached about. Further assessments will be made, which may be in person; over secure video conferencing; or over the telephone, to increase the understanding about your specific skills, experience and circumstances.
Is the data shared?
If you are interested in being put forward for the assignment, then your details will be passed to the client.
Donaldson Search does not share your data with any other parties, and specifically does not sell your data to any marketing companies.
The client company may wish to use a 3rd party organisation for referencing purposes, to arrange travel for you to attend an interview, or for a medical screening as part of their recruitment processes. Your consent would be obtained if this was required before any data would be passed on.
Where is the data stored?
The data is stored in secure locations:
Donaldson Search computers in the office, behind locked doors and password-protected
External hard-drives used for backups, behind locked doors and encrypted
How long is the data kept?
After each assignment, data is kept for 6 years and then deleted after this time, unless there has been further contact in the meantime. In practice, this means that your data is kept for 6 years from the last contact you have had with Donaldson Search. This is so that Donaldson Search can provide you with a useful service in future regarding assignments that come along that may fit with your career goals.
What is the legal basis for Donaldson Search using the data?
As an executive search business, Donaldson Search has a legitimate interest in processing the personal data of prospective candidates, clients and referees. This information may be used to locate, contact and assess the suitability of individuals who my then become candidates, clients or referees.
What if an individual does not want to provide this data to Donaldson Search?
If you do not wish to provide Donaldson Search with the personal data necessary to assess your suitability for a position then Donaldson search would not be able to put you forward for that position.

Donaldson Search makes all assessments by human judgement, based on the criteria given by the client. Automated profiling is not used by Donaldson Search.
